Asset Manager I in Augusta, ME

Position assists with the oversight of regulatory administration of projects within our Client's multi-family portfolio of properties, working with Asset Mgr II's/III's, owners and management companies, as well as federal regulatory agencies providing funding and contract work. Experience with comprehending and interpreting legal documents and regulatory guidelines, as well as knowledge of the affordable housing industry is strongly desired.

Review projects for compliance to federal, state and agency regulatory requirements; proactively monitor to anticipate developing issues and risks
Conduct management and occupancy reviews
Review management documents when a document or ownership change occurs
Assist drafting Notice of Violations and defaults when non-compliance is identified
Perform essential tasks required under the Performance Based Contract Administration
Provide timely reporting of results of the review
Perform on-site inspections
Timely response to tenant inquiries regarding any life safety concerns
Assist with Section 8 Contract Renewal Process, Rent Increases, and Special Claims
Maintain working knowledge of various federal and state program regulations application to the portfolio's - provide training and technical assistance to owners and management agents
Respond to resident, owners, managers and other external inquiries/issues
Provide support to the Asset Managers in processing ownership transfers
Other duties as assigned

Position requires Certified Occupancy Training Specialist (COS), Fair Housing Training, and competency with multiple department databases within the first year of employment

Position is responsible for supporting the organization’s accounting, tax, and payroll-related functions, with a primary focus on balance sheet reconciliations, client tax fund accounting, and compliance reporting. This role prepares and reconciles quarterly and year-end tax filings, researches and resolves discrepancies and tax notices, and compiles supporting documentation for the annual financial audit. Staff Accountant works closely with internal departments to ensure the accurate collection, reconciliation, and refunding of client funds while maintaining compliance with applicable tax laws and accounting standards. This position requires strong attention to detail, problem-solving skills, and the ability to collaborate across departments.

Essential Duties and Responsibilities

Reconcile all balance sheet accounts and prepare supporting documentation for the year-end financial audit
Reconcile client tax funds collected and subsequently paid out, including balancing funds for new and terminating clients
Research, analyze, and resolve federal, state, and local tax notices and discrepancies
Prepare, process, and file quarterly and year-end tax returns, including payroll-related filings such as W-2s
Prepare and submit corrected and amended quarterly and annual tax returns as needed
Process tax payments and ensure timely and accurate remittance
Coordinate with the Accounting Administrator to reconcile bank accounts and accurately post transactions in QuickBooks
Work with the Database Administrator and other stakeholders to automate and improve reconciliation and reporting processes
Maintain up-to-date knowledge of payroll and accounting systems, as well as changes in wage and tax laws
Research and resolve client, system, or process-related issues impacting accounting or tax reporting
Cross-train with other accounting and tax staff and serve as backup support as needed
Maintain client files and financial records in a confidential and secure manner
Establish and maintain positive working relationships with clients, agencies, and coworkers to promote a high-quality service image
Support and contribute to a positive and collaborative work environment
Perform other accounting and administrative duties as assigned

5 years accounting experience working with financial statements
Basic knowledge of Generally Accepted Accounting Principles

Position assists the Controller in researching and resolving tax notices, filing amended returns, making tax payments, preparing and filing quarterly and year-end returns and various other functions within the department.

Research/resolve tax notices
Process quarterly and year-end tax returns, including W-2's
Process corrected/amended quarterly returns
Maintain knowledge of payroll software system and changes in wage and tax laws
Transmit daily ACH files of tax liabilities owed
Assist with quarterly and year-end preparation process as directed by the Controller
Process tax payments daily and as needed
Cross train with all members of the department and serve as back-up
Process service terminations including determining if tax liabilities or refunds
Process client conversions in a timely manner to collect taxes and register clients with tax entities
Requirements
Knowledge of Federal and State payroll tax laws/procedures
